What’s the role?
You will be responsible for:
Office Administration:
- Managing diaries and scheduling meetings and appointments where necessary.
- Managing all clerical duties, including filing, answering phone calls, responding to emails and preparing necessary documents.
- Greeting visitors at reception.
- Printing and photocopying.
- Typing up letters and reports Translation.
- Updating computer records using a database.
- Ensure that all office equipment is maintained and functioning properly.
- Coordinate with IT support to ensure that all systems are secure, up to date, and running efficiently.
- Manage office supplies inventory and place orders as necessary.
- Liaising with suppliers and contractors.
- Ensure that the office environment is clean, organized, and conducive to productivity.
- Perform other duties and responsibilities as assigned by the CEO or management team.
- Arrange travel plans and itineraries, including booking flights, accommodations, and transportation as needed.
- Taking minutes at meetings.
- Conducting regular stock take to ensure accurate inventory levels, minimize discrepancies, and optimize stock management practices.
- Coordinating logistics for each company order to ensure timely and efficient delivery to clients.
- You will be responsible for project coordination.
- You will manage client relationships following the sale.
HR Administration:
- Work with the CEO to onboard new employees, ensuring that they have the necessary equipment and resources.
- Maintain and update accurate employee files and databases, including personal information, employment history, and performance records.
- Assist in processing payroll, managing benefits enrollment, and tracking employee leave and attendance records.
- Ensure that the organization complies with labor laws and regulations, including maintaining up-to-date knowledge of employment legislation.
- Support the performance appraisal process, including scheduling performance reviews and assisting with goal-setting.
- Monitor and assess employee performance and provide feedback and support to improve productivity and morale.
- Assist in developing and updating HR policies and procedures to ensure consistency and fairness across the organization.
- Act as a point of contact for employees, addressing any HR-related queries, concerns, or issues.
- Mediate and resolve conflicts between employees or between employees and management, ensuring a harmonious work environment.
